2. Data We Collect
We collect personal data when you use our website, contact us, or bring your vehicle to our premises. The categories of data we collect include:
Information You Provide
- Contact and booking details: your name, phone number, email address, and any message or service request you provide via our website forms or by phone.
- Vehicle information: vehicle registration number (VRN), make, model, year, mileage, and VIN where required for parts ordering or diagnostics.
- Service and repair records: details of work carried out, MOT test results (pass, fail, advisories), diagnostic fault codes, and parts fitted.
- Payment information: we process card payments at our premises but do not store your full card details. Payment is handled by our card terminal provider.
Information Collected Automatically
- Phone call data (advertising line): if you call us on the phone number shown in our online adverts, we record call metadata — your phone number, the time of the call, and its duration. When our AI phone assistant answers, a written transcript of the conversation is also kept. Calls are not audio-recorded. See the AI Phone Assistant section below.
- CCTV footage: our premises are monitored by CCTV for security and crime prevention. Footage may include images of individuals and vehicle registration plates entering or leaving the site.
- Website analytics: with your consent, we collect anonymised data about how you use our website (pages visited, time on site, device type) via Google Analytics 4.
- Cookies: essential cookies for website functionality, plus analytics and marketing cookies with your explicit consent. See the Cookies section below for full details.
3. AI Phone Assistant (Senna)
When you call the phone number shown in our online adverts and our team cannot answer — outside opening hours, or when the garage phone goes unanswered — the call is answered by Senna, an automated AI assistant. Senna identifies itself as an AI assistant at the start of every call.
- What it does: answers basic questions such as opening hours, services, and published prices, and takes booking or callback requests. Every booking taken by Senna is a request only — a member of our team reviews and confirms it with you. The assistant makes no automated decisions that have legal or similarly significant effects on you.
- What we process: your speech is converted to text in real time so the assistant can respond, and a written transcript of the conversation is stored against your enquiry in our booking system. We do not keep audio recordings of these calls.
- Who processes it:the call and conversation are handled by Telnyx, our telephony provider, whose platform runs the assistant (including speech-to-text and an AI language model), and by ElevenLabs, which generates the assistant's voice. Both act as our data processors.
- Your choices: if you would rather not speak to an AI assistant, you can call us during opening hours on 01670 708599, book via our website, or ask Senna for a callback and a member of the team will ring you back.
4. How and Why We Use Your Data
We only process your personal data when we have a lawful basis to do so under the UK General Data Protection Regulation (UK GDPR). The table below sets out our purposes and the corresponding lawful basis:

- Meta Platforms (US): Meta is certified under the UK Extension to the EU-US Data Privacy Framework.
- Resend (US): transfers are covered by Standard Contractual Clauses (SCCs) approved by the ICO.
- Telnyx (US): transfers are covered by Standard Contractual Clauses (SCCs) incorporated into our data processing agreement.
- ElevenLabs (US): transfers are covered by Standard Contractual Clauses (SCCs) incorporated into our data processing agreement.
- Hetzner (Germany): the UK recognises the EU/EEA as providing adequate data protection. No additional safeguards are required.
7. How Long We Keep Your Data
We retain personal data only for as long as necessary for the purpose it was collected, or as required by law. Our retention periods are:

After the retention period expires, data is securely deleted or anonymised. You can request earlier deletion at any time (subject to legal obligations that require us to retain certain records).

- Rectification: ask us to correct inaccurate or incomplete data.
- Erasure: ask us to delete your personal data (right to be forgotten), subject to legal retention requirements.
